FilmFreeway lists

Import a submissions export from FilmFreeway. Every film card then shows whether that film was submitted, and whether it was selected or not selected. Import the list for each festival year.

How to export your submissions from FilmFreeway

Once: make a "FilmFestScout" export configuration

  1. In FilmFreeway, open My Festival → Festival Management → Export Configurations, then + Add a Configuration.
  2. Configuration Name: FilmFestScout.
  3. Under Choose Fields, click these 10 fields (the order does not matter):
    • Project Information: Project Title, Directors, Duration, Completion Date
    • Detailed Submission Information: Submission ID, Submission Date, Submission Status, Judging Status, Submission Categories, Submission Link
  4. Do not add any Submitter Information field (names, email, phone, address, birthdate, gender), or Rating, Assigned Judges or Submission Notes. FilmFestScout does not keep them, and without them the file holds no submitter's personal data.
  5. Click Save Configuration.

Each time: export a list and import it here

  1. In FilmFreeway, open Submissions. In Season, choose the festival year: Current Season, a past season, or All Seasons. FilmFreeway names a past season by its submission dates: for example, "Jul 2025 to Nov 2025" is the season for the festival held in early 2026.
  2. Open Export All ▾ → Export Submissions. In the Export Data window:
    • Choose Configuration: FilmFestScout (not "Standard": it includes the submitters' personal data).
    • Choose Selection: All Submissions (not "All Unexported Submissions": it leaves out the films you exported before).
    • Export Type: CSV (FilmFestScout cannot read Excel files).
Press Export Data and save the file.
  3. Here, below: type the list name with the festival year (for example SpIFF 2026). For an All Seasons file, tick the box and type the name without the year (for example SpIFF). Choose the file and press Import.
  4. Delete the CSV file from your computer when the import is done.
  5. Import the same season again after each round of decisions: FilmFestScout updates the list, it does not add the films twice.

FilmFestScout needs at least Project Title, Submission ID and Judging Status; it reads the date, directors, category, status, completion date, duration and link when the file has them. Without Submission Date it cannot check that the file and the list name are the same festival year.

Import a list

Export with the FilmFestScout configuration (see "How to export your submissions from FilmFreeway" above). Importing the same list again updates it (for example, after screeners make more decisions). For one season, type the list name with the year. For an “All Seasons” export, tick the box and type the name without the year (for example SpIFF): FilmFestScout finds each submission's festival year from its submission date. If the dates do not match the list name or the list, FilmFestScout asks before it saves. FilmFestScout keeps titles, directors, categories and decisions only. It does not keep emails, phone numbers or screener ratings.

Demo: this email was NOT sent

In FilmFestScout, "Suggest invite" sends this to the festival's programming team, who then invite the filmmaker. FilmFestScout never emails filmmakers.
